Booking one hotel room is easy. Booking twenty rooms for a wedding, a sports team, a conference or a work crew is a different job. Dates have to line up, every guest needs a bed that suits them, and the final bill has to match what everyone agreed to. This guide walks through how to plan a group hotel booking in Canada, step by step, so the stay goes the way you planned.
1. Start with the basics: who, when and where
Before you contact any hotel, write down four things:
- Dates: check-in and check-out for the main group, plus anyone arriving early or leaving late.
- Number of rooms: a realistic count, not the best case. It is easier to add a few rooms later than to release rooms you have promised to pay for.
- Room mix: how many guests share a room, and whether you need singles, doubles, two-bed rooms or suites.
- Location: the venue, office or field you need to be close to. A hotel twenty minutes away can mean a lot of extra taxis or shuttle time.
Having this ready means hotels can give you real options and real prices instead of rough guesses.
2. Book early, especially in busy seasons
Group space goes first in peak periods: summer weekends, long weekends, major festivals and sports tournaments, and conference weeks in cities like Toronto, Vancouver, Montréal and Calgary. Starting early gives you more hotels to choose from and more room to negotiate. As a rule of thumb, the bigger the group and the busier the dates, the earlier you should start.
3. Understand the full price before you agree to it
Hotel prices in Canada are made up of the room rate plus taxes and, in some places, extra charges. These can include:
- Sales taxes: GST or HST, and provincial sales tax where it applies to accommodation. The mix differs from province to province.
- Local accommodation or destination charges: some cities and regions add a tax or fee on hotel stays.
- Hotel fees: for example parking, resort or amenity fees, which some properties charge on top of the room.
Canada's Competition Act treats advertising a price that cannot actually be paid, because mandatory fees are added later (often called "drip pricing"), as deceptive marketing. Even so, always ask for the total amount per room, per night, with every mandatory tax and fee included, and confirm whether any charges are paid separately at the hotel. Comparing all-in totals is the only fair way to compare two offers.
Tip: Innent shows one price per stay with all taxes and fees included, so you can compare options side by side without doing the maths yourself.
4. Read the contract: dates, cancellation and attrition
Most group bookings come with a written agreement. Read it carefully before anyone signs. The points that matter most are:
- The date window: the arrival and departure dates the group rate covers. Rooms outside this window are often priced differently.
- Cancellation terms: the date until which rooms can be cancelled without a charge, and what happens after that date.
- Attrition (room pick-up): many contracts let you reduce the room count by a set amount before a cut-off date. After that, unused rooms may still be charged.
- Cut-off date for names: the date the hotel needs your final guest list.
- Deposits and payment: how much is due, when, and how it is paid.
If anything is unclear, ask for it in writing. A short email confirming "free cancellation until 14 days before arrival" can save a long argument later.
5. Plan the rooming list early
The rooming list tells the hotel who is staying in each room and for which nights. A good list includes each guest's name as it appears on their ID, their arrival and departure dates, the room type, and any special needs such as an accessible room, a crib or a ground-floor room.
A rooming list contains personal information, so treat it with care. In Canada, private-sector organizations that collect personal information in the course of commercial activity are generally covered by privacy law (federally, PIPEDA, or a similar provincial law). In practice:
- Collect only what the hotel actually needs to check guests in.
- Tell your guests why you are collecting it and who it will be shared with.
- Share the list through a secure channel, not a public group chat.
6. Ask about accessibility and special requests up front
Accessible rooms, connecting rooms and rooms close to the elevator are limited in most hotels. If anyone in your group needs them, say so in your first request, not the week before arrival. The same goes for early check-in, late check-out, luggage storage for a team, or a meeting room for the morning after.
7. Confirm everything, then confirm again
Once the booking is made, check that you have:
- A written confirmation for every room, ideally with the hotel's confirmation number.
- The final all-in price and how and when it is charged.
- The cancellation and attrition dates in your calendar.
- A single contact person on your side and at the hotel or booking partner.
A week before arrival, check the rooming list one more time. Names change, people drop out and new guests join. Updating the hotel early is much easier than fixing it at the front desk.
